How to connect your Google Calendar

A two way integration between Soon and Google Calendar

Soon integrates with Google Calendar in two ways:

  1. Soon ➡️ Google Calendar

    Get your Soon data into Google Calendar to see when shifts are scheduled (events), what you need to work on during your shift (activities), and when you're on leave.

  2. Google Calendar ➡️ Soon Optional

    Get your Google Calendar data into Soon to inform your team about your scheduled events and help prevent scheduling conflicts.

This guide will walk you through the following topics:


Connect your Google Calendar account with Soon

Go to your Profile (top right corner). Click on Connect Google Calendar.

🚨 Important: Please ensure you consent to all permissions to make this integration work as expected.


Soon ➡️ Google Calendar

This chapter describes how you can configure Soon data that syncs to your Google Calendar.

Calendar type

Select to which calendar Soon should be synced. You can choose from the following:

  • My calendar

    Events, activities, and leave requests that are created in Soon will be copied to your primary calendar. This is your default calendar and can be used if you want everything in one place and/or if you want other people to have visibility into your schedule.

  • Separate Soon calendar

    Soon will create a separate/new calendar called "Soon Calendar". Events, activities, and leave requests will be copied from Soon to the separate calendar rather than to your primary calendar.

Entry types

Select what to sync from Soon to your calendar. You can choose from the following:

  • Events

    Sync all your events with the accepted and assigned status to your calendar.

  • Activities

    Sync all your activities that are part of events with the accepted and assigned status to your calendar.

  • Leave

    Sync all your leave requests with the approved status to your calendar.

Or, you can uncheck them all if you only want to get data from Google Calendar into Soon.


Google Calendar ➡️ Soon Optional

This chapter describes how you can configure Google Calendar data that syncs to Soon.

Share calendar

You can choose if you want to import your Google Calendar data into Soon. This will allow you to share your calendar events with the rest of your team in the Workload view. Very useful when you have meetings/events throughout your shift to help prevent scheduling conflicts when activities are being scheduled.

Additionally, you can choose to include the following type of calendar events if wanted.

  • Private events

    Share private events and allow people to only see the event time. Other event details won't be shared.

  • Unconfirmed events

    Share events for which you haven't confirmed attendance yet.

  • Out of office

    Share events that are marked as "out of office".


Fix sync problems with your Google Calendar account

Follow these steps for troubleshooting when Soon has an authorized connection with your calendar account and data isn't showing up in your Google Calendar.

  • Manually re-sync your schedule by opening the Calendar Settings modal and clicking on the re-sync icon/button in the top left. Clicking this will automatically create/update the data (any events, activities, and/or leaves) from today onwards into the future in your connected calendar.

  • Ensure you've checked/selected the data entry types you want to sync to Soon Note that only future data (events, activities, and leave) will be synced to your calendar account on initial sync.

  • Confirm that you've connected the correct calendar account

  • Check that the calendar is visible

    Make sure the calendar box is checked. If you only see a color around the edge of the box, tap the box to show that calendar.

  • Ensure you see accepted/assigned events and approved leave in My Schedule

If the above did not help, we suspect it's because Soon has no or insufficient permissions to access your calendar. Follow these steps:

  1. Select "Soon" and click "Remove/Revoke access"

  2. In Soon, disconnect your Google Calendar account by clicking "Disable"

  3. In Soon, re-connect your Google Calendar account by clicking "Connect". If you see various boxes that can be checked during the Google Authorization process, ensure you consent to all requested permissions (check all boxes if necessary). When connected and accessing the Google third-party apps with account access, confirm that Soon has full access to your Google Calendar.
