Introduction
Within Events, you have the ability to schedule "Activities", a powerful feature designed to help you efficiently manage your time during the day or shift, often referred to as "Intraday Scheduling". These Activities can be used for a wide range of purposes, such as scheduling tasks, allocating training sessions, planning meetings, scheduling breaks, and organizing operational activities like phone calls, chats, email responses, and social media tasks. The choice of Activities largely depends on the specific needs of your team. If your administrator has enabled self-scheduling of Activities for your Event/shift, you can take full control of your intraday schedule with ease using Soon.
Self-Manage Activities
Follow these simple steps or watch the instructional video below to effectively manage the Activities you'll be dedicating your time to:
Access Your Event:
Open the relevant Event by navigating to "My Schedule" on the desktop version of Soon.
Modify Your Activities:
Add, update, or delete Activities that have been scheduled for your Event/shift. You can choose from the predefined activity types created by your administrator for the specific Board. Adjust the timing, include notes for additional context, and even toggle the "Busy" or "Free" setting to indicate your availability in your connected Google and/or Outlook Calendar.
Save Your Changes:
Once you've made the necessary adjustments, simply click "Save updates" and hit "Save" to confirm your changes.
Enhance Collaboration
Make the most out of the Notes and Comments section within the Event to communicate effectively with your colleagues. In the "My Schedule" view, you can also see the planned Activities of your team members in the Event details, promoting better coordination and alignment of tasks. To review what others on the same Event have scheduled, click the cross icon next to your name and select another person. Real-Time Sync: Activities seamlessly synchronize in real-time with your connected Google and/or Outlook Calendar.
Activity Status: Utilize the lock icon to specify the status of each Activity (busy or free) in your connected Google and/or Outlook Calendar. This provides clarity to others about your availability for scheduled tasks.
Custom Notes: Feel free to add custom notes to Activities to provide additional context or instructions. This ensures that everyone is well-informed about the tasks at hand.
Predefined Durations: Activity types come with predefined durations set by the administrator, eliminating the need to specify the default length for each Activity manually. However, you can always adjust the start and end times to align with your specific requirements.
